We are looking for a skilled business administrator to join our central support team helping to ensure the smooth and efficient operation of the business. The role will involve assisting all departments globally where required. Many tasks will involve financial aspects, therefore, strong numerical skills are a necessity with excellent attention to detail, and the ability to multitask and prioritise effectively. The successful business administrator will need to be proactive in managing processes, identifying improvements, and dealing with ad-hoc queries as they arise.
What you will do
General business administration
- Assist in diary management for the Director(s) and take the lead in arranging regular meetings.
- Attend meetings as requested with senior leaders, create agendas, and take accurate minutes.
- Oversee supplier management and assist with the supplier management process.
- Assist all departments with data entry as required.
- Assist with document formatting and conversion within branding guidelines.
- Assist in preparing internal reporting for all departments.
- Review and record internal meeting attendance and actions on behalf of the Director, chasing up outstanding items in a timely manner and keeping an actions log.
- Assist in drafting expense claims for submission to the finance team and booking travel for senior team members.
- Answering and directing business calls from the switchboard as necessary.
- Ensure all relevant information is uploaded to necessary folders on both QCIC SharePoint and Microsoft Teams sites.
Other Business support
- Assist with preparing and formatting client proposals and RFP submissions.
- Assist with the preparation and presentation of client presentations adhering to strict brand guidelines including and responding to queries.
- Maintain client relationship records and contact databases.

- Previous experience in a fast-paced administrative role within a global business.
- Proven verbal and written communication skills and the ability to multitask.
- We are looking for strong problem-solving skills and initiative, which are required to avoid unnecessary delays while ensuring overall governance is maintained.
- Excellent computer skills, in particular, using Office 365 – Powerpoint, Excel, and Word.
- Ability to communicate clearly, effectively, and confidently with internal/external stakeholders.
- Ability to work independently, or as a team member, while maintaining focus and productivity.
- Ability to manage global business correspondence.
- Rapid and accurate data entry, attention to detail, and excellent editing abilities.
- Excellent people skills at varying levels.
- Adequate administration experience.
- Excellent analytical skills.
